The process of identifying and fixing errors in an automation workflow. In n8n, every execution shows the exact data at each node making it easy to pinpoint where a value was lost, transformed incorrectly, or caused a downstream failure.

Debugging a failed workflow execution is far faster when the workflow logs the actual input and output at each step, not just a pass/fail status, "step 3 failed" tells you almost nothing, "step 3 failed because the API returned a 404 for customer ID 4821" tells you exactly where to look.

Not every step in a workflow needs to be an "action" against a third-party system, some steps just shape data for the next step. Conflating the two, treating every node as if it performs a real-world effect, makes it harder to reason about which parts of a workflow are safe to re-run after a failure and which will duplicate a real action (like sending a second invoice) if replayed.

The trap most teams fall into is building one giant workflow that does everything. A workflow that handles intake, validation, routing, and notification in a single unbroken chain is fragile: one failed step at 2am kills the whole thing with no partial recovery. Aggregating data (summing, averaging, counting) inside a workflow instead of in the source system means the aggregation logic exists in two places if anyone later needs the same number elsewhere, and the two calculations will eventually disagree once someone changes one without knowing about the other.

API documentation is frequently out of sync with the actual API behavior, especially for fields marked optional that are, in practice, always present, or vice versa. Testing against the real API response rather than trusting the documented schema catches these gaps before they cause a production failure.

A retry strategy that adjusts wait times based on the type of failure network timeouts get short retries; API rate limit errors get longer, jitter-randomised backoffs. Smarter than fixed-interval retries and reduces API hammering.

Adaptive retry logic that adjusts its backoff based on the type of error received (a rate limit vs. a server error vs. a genuine bad request) is more effective than a fixed retry schedule, since retrying a request that failed due to invalid data will never succeed no matter how many times or how patiently it's retried, that class of error needs a different handling path entirely.

The iterative process by which an AI agent plans, acts, observes the result, and decides the next action repeating until the goal is achieved. Claude AI uses agent loops to complete multi-step tasks like researching a contact and drafting a personalised email.

An AI agent loop (the model deciding which tool to call, observing the result, deciding the next action) needs an explicit maximum iteration count, without one, an agent that gets stuck in an unproductive cycle, repeatedly calling the same tool with slightly different inputs, will keep running (and accumulating cost) until something else stops it.

Annotation (data)

Adding labels or metadata to data records to make them more useful for downstream processing. Example: annotating a support ticket with "billing", "urgent", and "enterprise" tags added automatically by Claude AI based on message content.

Data annotation quality directly determines the quality of anything trained or evaluated against it, inconsistent annotation guidelines between different annotators (or the same annotator on different days) introduce noise that no amount of downstream model sophistication can fully correct for.

The right batch size is whatever the receiving system's documented limits allow, found by checking the docs, not by assuming bigger is always more efficient.

BPA fails most often not from bad technology but from automating a process nobody had actually agreed on. If three people in the same company would each describe "how we handle a new client" differently, automating it just encodes one person's version of the process and breaks the other two people's workflow. Map the process and get agreement before building.

Retroactively processing historical data through a new automation after it is deployed. Example: after building an invoice automation, running it against 6 months of existing orders to populate historical records.

Backfilling historical data through a workflow built for real-time events risks re-triggering side effects meant to happen once, sending a "welcome" email to 10,000 existing contacts because a new automation was pointed at historical data instead of only new records going forward. Backfills need their own logic path that skips side effects like notifications.

A workflow with many nested branches becomes exponentially harder to test fully, since each additional branch multiplies the number of distinct paths through the workflow. Beyond 3-4 levels of nested branching, splitting the workflow into separate linked subworkflows per major path is usually more maintainable than one deeply branched flow.

Combining several boolean conditions with mixed AND/OR logic without parentheses to make precedence explicit is a common source of workflow bugs that pass initial testing, since the platform evaluates the conditions in an order the builder didn't necessarily intend, explicit grouping removes the ambiguity.

Change data capture (CDC) is more reliable than polling for catching every change to a database, since polling can miss two rapid changes to the same record between poll intervals, but CDC requires the source database to support it (via replication logs), which not every system does, making it unavailable for a lot of SaaS-tool integrations that only expose a REST API.

Before committing to a platform for a specific integration, check that platform's actual connector for the field-level coverage you need, not just that "a connector exists."

The maximum amount of text an LLM can process in a single request. Claude's context window allows it to analyse entire contracts, long email threads, or multi-page reports not just short snippets. Larger windows enable more complex automation tasks.

An LLM's context window limit isn't just about how much text fits, performance quality also tends to degrade on information buried in the middle of a very long context, a phenomenon sometimes called "lost in the middle." For workflows extracting specific facts from long documents, chunking the document and processing sections separately often outperforms stuffing everything into one call.

Cooldown period

A mandatory delay between successive runs of an automation to prevent duplicate processing or API overload. Example: after a form submission triggers a workflow, a 30-second cooldown prevents duplicate submissions from firing it again.

A cooldown period prevents a workflow from re-firing on the same trigger too quickly, useful for avoiding duplicate notifications when a system sends multiple rapid updates for what is really one event. Setting the cooldown too short defeats its purpose; setting it too long can suppress a genuinely new, separate event that happens to arrive soon after the last one.

Deliberately slowing down automation execution to stay within API rate limits. Example: when processing 1,000 contacts, add a 1-second delay between each API call to avoid hitting the rate limit and triggering errors.

Throttling protects the receiving system, but a workflow that gets throttled without handling it gracefully (backing off and retrying) can end up dropping records rather than just processing them slower. A 429 response should trigger a delay-and-retry, not be treated as a failure to log and move on from.

A credential string used to authenticate API requests. Tokens are either long-lived (API keys) or short-lived (OAuth access tokens). Short-lived tokens require automated refresh logic to prevent authentication failures in long-running workflows.

API tokens that never expire are convenient and dangerous in equal measure, if one leaks (committed to a public repo, pasted into a chat), it's valid until manually revoked. Where a service supports short-lived tokens with refresh flows, using them limits the blast radius of an eventual leak.

The event that starts an automation. Common triggers: form submission, email received, payment completed, calendar event, database row created. Getting the trigger right is the foundation of any reliable workflow.

The most common design mistake is choosing a trigger that fires too often or too rarely for what it feeds. A trigger that fires on every field update in a CRM (not just meaningful ones) can flood a workflow with noise; picking the narrowest trigger that genuinely captures the moment you care about, a specific status change rather than any change, saves far more debugging time than it costs to set up.

An AI agent's tool-use accuracy depends heavily on how clearly each tool is described to it, a tool with an ambiguous or overly broad description gets called incorrectly or in the wrong situation far more often than one with a precise description of exactly when and how it should be used.

Transaction (atomic)

A set of operations that either all succeed or all fail together no partial states. In payment automation, the charge, the invoice creation, and the CRM update must either all succeed or all roll back preventing a world where a client is charged but never invoiced.

Without atomic transactions, a multi-step database update can partially complete, a payment recorded but the associated order status update failing right after, leaving the two systems in an inconsistent state that's hard to detect and reconcile later. Wrapping related writes in a real transaction where the platform supports it prevents this class of partial-failure inconsistency.

Automation's effect on unit economics is easy to overstate if only the time saved is counted and the ongoing cost of maintaining the automation (monitoring, fixing breakage when an API changes) is left out of the calculation, the honest unit economics include both sides of that ledger, not just the labor saved.

A vector database's search quality depends on how the source content was chunked and embedded before storage, a technically working vector database with poorly chunked source documents (splitting related content across separate chunks) will confidently return incomplete or irrelevant results, the infrastructure being correct doesn't guarantee the retrieval quality is.
