Automation workflow
A sequence of automated actions triggered by a specific event. Example: a new Typeform submission triggers a CRM entry, a welcome email, and a Slack notification all without human intervention.
Expert insight
The trap most teams fall into is building one giant workflow that does everything. A workflow that handles intake, validation, routing, and notification in a single unbroken chain is fragile: one failed step at 2am kills the whole thing with no partial recovery. Splitting a process into smaller linked workflows (one per responsibility, connected by triggers or subworkflow calls) means a failure in one stage doesn't take down the ones before or after it, and makes the whole system far easier to debug when something breaks.
In a real workflow
When a deal closes in Pipedrive, a workflow creates the project in ClickUp, sends the onboarding email and books the kickoff call.
Common mistakes
- Building one giant workflow that does everything, which becomes impossible to debug.
- Leaving workflows without an owner, documentation or alerts.
