SimpleStripe + Xero, automated reconciliation
Every Stripe transaction is automatically recorded and reconciled in Xero, with fees broken out as their own line item, so your books match your bank deposits exactly.

The problem this automation solves
Without automation, reconciling Stripe payouts against Xero invoices means manually checking that the net deposit (gross minus Stripe fees) matches what landed in the bank, a fiddly, error-prone process most finance teams do by hand every month.
How the workflow runs
Trigger
A Stripe charge, refund, or payout event fires.
Match
The workflow finds the matching Xero invoice or draft bill, or creates one.
Reconcile
Stripe fees are posted to a dedicated expense account so the net deposit ties out perfectly.
Sync
Bank feed reconciliation in Xero is pre-matched, turning a manual review into a one-click confirm.
What you need before we start
- ✓A Stripe account with API access to charges, refunds, payouts and balance transactions.
- ✓Xero with a Stripe clearing account and an expense account for Stripe fees.
- ✓A matching rule between Stripe customers and Xero contacts (email or a stored Stripe customer ID).
What usually goes wrong with Stripe + Xero, and how the workflow handles it
Net deposits in the bank feed
Xero's bank feed shows the payout net of fees. Posting gross sales plus a separate fee line through the clearing account makes the bank line match in one click.
Refunds after payout
A refund issued after the original charge was paid out reduces a later payout. The workflow links the refund to the original invoice as a credit note so the history stays readable.
Xero API limits
Xero limits how many calls an app can make per minute and per day. High-volume days are processed in batches with waits between them instead of failing.
Duplicate events
Every Stripe event ID is recorded, so a resent webhook never creates a second invoice or payment.

Does this work with Xero multi-currency?
Yes, multi-currency Stripe payouts are converted and reconciled against the correct Xero currency accounts.
What about Stripe subscriptions and recurring billing?
Recurring charges are handled the same way as one-off payments, each renewal reconciles automatically.
Does it post invoices or just payments?
Either. If you invoice in Xero, payments are applied to existing invoices. If Stripe is your billing system, the workflow creates the invoice and marks it paid.
What happens if Xero is down?
Failed writes are retried automatically and anything still failing is sent to an alert channel with the event details, so nothing is lost silently.
